A Single User Form for Multiple "Apps"

Good Afternoon!

Would anyone happen to know if there is a way to have a single user form send all of the information collected to five different apps to populate those user tables. My teachers currently use five different apps based upon the apps purpose, Student Data, Room Reservations, Live Lesson Calendar, Ticket System, and Course Walkthroughs. I would love to have new teachers fill out one form and upon submission, all of the submitted data goes into the user tables of each of these apps.

This is not a trivial use case. You would need to use either APIs or Flows, or an external integration platform like Make.

How do I get Flows to work? I do not have the little Flows tab in my Builder. We have an enterprise cloudgov account. Should we have access?

Flows may not be enabled on your instance. You would need to contact Knack support.

Flows is only available to the Owner, not the Builders in a Knack account. As such, it is almost useless.

My understanding is that Flows will be available to shared builders, at some future point.

The operative words are “at some future point.” There is no date or timeline established so for all practical purposes, it cannot be used effectively, at least in my organization.

Just wondering about use of the term “apps”.

Are you referring to

apps outside of the knack environment in another language
Or
seperate apps within a knack environment

I ask because what your asking could all be done using a combination of user profiles and definition of login process for multiple forms within the knack environments.

A master form and parent file contains whatever data is global to all and is linked to other child forms and files using a common ID across the database.
Text formulae will allow you to obtain whatever you wish to display in the child forms/files.

I use this very multi table layout for an ex-servicemen database where primary data is in the soldier file and each soldier has other connected tables
Wounded in action
Deceased
Prisoner of War
Notes
Media items

Or maybe I have misunderstood what you were asking ?

Thanks for the response! I am looking to connect apps within Knack so we have a student data app (registration, progress monitoring, learning commitment forms etc), a live lesson app, a ticketing system app, and a few others that are their own app because it is disparate data BUT I would love to be able to have my new teachers just fill out one form and they become users in every app we need. Knack said we should have flows soon which seems to me to be a pipeline we can build between apps, but who knows time with that. Any help/examples you can provide would be greatly appreciated! You can use Make.com. That is what I use. It will connect all your knack apps. I push all my employee data from one main app to the other 7 knack apps I have. I haven’t used flows much as of yet. I would like to move to that later. For now, Make.com is a solution.

Hi Dan,

Creating an app for each centre might seem like a solution, but the lack of transportability currently means it needs manual intervention or automated external processes to feed between knack apps.

My app will eventually be made available worldwide for researchers once we finalise about 7,000 more soldiers (27.000 roughly in total).

I have a team of 6 research volunteers that access it daily and performs changes to dates, places etc.

Here’s my email if you want drop my a line and maybe expand on the logistics (staff) and what U need to do in each area of concern I think we could nut out a solution within the one app using the access controls already in place.
